Assistant

Duty station: Kiev, Ukraine
Duties and Responsibilities:
Assist in day-to-day management of project activities:
- Maintain accounts for project expenditures and monitor
project budget
- Interprets and implements NEX procedures and rules
related to administrative and personnel matters and ensure their compliance
- Prepares detailed plan of actions and budget estimate
for workshops, seminars, retreats, study tours, etc.
- Provides all necessary logistical support in
organization of the above, maintain accurate record of all expenses and
prepare a report to Administrative/Finance Assistant for further submission to
UNDP office
- Provides interpretation and written translation of
materials as and when required
- Monitors the Inventory Records of PMUs, ensure the
establishment of a pool of equipment(s) which can be shared by PMUs and
provide advice on procurement of goods to avoid unnecessary purchase
- Undertakes joint procurement activities under combined
Purchase Orders for stationery, computer hardware, photocopiers; joint
contracts for computer maintenance, air-conditioning maintenance, shipping
services, etc
- Keeps a filing system of general administration and
personnel matters
- Handles correspondence related to general
administration and personnel matters
- Briefs PMU staff on general administrative and
personnel matters and ensure timely extension of contracts
- Provide other secretarial and support services as
required which are within his/her competence to ensure effective
implementation of the Project
The Assistant for Project Manager will work under direct supervision of the
Project Manager.
Experience and Qualifications:
- Minimum diploma in economic science pr other
appropriate field
- Proven ability to assist with management of complex
projects
- Proven familiarity with economic policy issues in
Ukraine
- Familiarity with work of international financial
institutions, technical assistance projects in macroeconomics
- Knowledge of standard personal computer software
- Knowledge of English is an asset
- Previous experience of working for nationally executed programme(s) funded
by UNDP an asset
