United Nations Development Program Office is seeking a highly qualified professional to fill in position of Documentation Specialist

  • Functions and responsibilities:

    Under supervision of the Project Manager and in close consultations with the SIDA, UNDP and national project partners, the Documentation Specialist/ Translator will perform a variety of specialized tasks to ensure timely and efficient support in programme-related activities, provide general administrative support and assist the implementation of the project. Specifically, s/he will:

    • Draft quarterly, midyear and annual reports on the results of EOP activities in cooperation and in close consultations with the project staff;
    • Provide high quality written and oral translations (from English into Ukrainian and/or Russian and vice versa) for the project staff, UNDP or SIDA staff visiting the project, Donor Organizations as well as other partners visiting the project if and when required;
    • Prepare minutes of important projects meetings;
    • Drafting of all other documents relevant to the respective components as may be required;
    • Monitor progress of EOP’s activities within his/her area of responsibility and regularly report to the Project Manager;
    • Maintain the Programme's contact directory;
    • Input data into various Programme office's databases and/or management information systems as required;
    • Assume responsibility for transmission and dissemination of Programme related documents and information materials (via e-mail, fax, mail, pouch, courier/driver etc.);
    • Perform registry duties,
    • Drafting correspondence,
    • Maintain office-filing system;
    • Maintain proper electronic and paper filing systems;
    • Perform other duties as assigned by management.

    7. Experience and Qualifications:

    • University degree in social sciences/law;
    • Formal training in translation would be a strong asset;
    • Fluency in English, Ukrainian and Russian;
    • Excellent writing and documents’ drafting skills;
    • Excellent presentation skills;
    • Practical translation/interpretation experience with gender terminology in high level translations;
    • Excellent interpersonal and communication skills, strong organizational and time management skills are a must;
    • Be able to maintain general office equipment (photocopier, fax machines, computer, camera, scan etc.).
    • Ability to show initiative and work in a team is a must;
    • Ability to take a structured approach to the job and prioritize his/her workload appropriately;
    • Be able to deal with several issues concurrently;
    • Advanced computer skills, including word processing, spreadsheet and desktop publishing programmes;
