Duties and
responsibilities:
Under the direct supervision of
International Programme Manager the incumbent will perform the following
functions:
- Assist the UNDP/CRDP Project Manager in implementing Programme activities
envisaged in the Programme work plan.
- Develop and implement a filing system for the CRDP office based upon UNDP
recommendations.
- Ensure: smooth operations of the CRDP Kyiv office, paper and e-filing
correspondence maintenance, appointments arrangements, proper functioning of
office equipment, and cleanliness of the office and all facilities.
- Welcome CRDP visitors and direct them to the appropriate CRDP staff
member.
- Maintain inventory of office supplies, ensure that office supplies are
available and procure (jointly with the administrative / finance assistant)
the necessary office supplies.
- Translate official letters and short documents (Ukrainian- English –
Ukrainian).
- Answer telephone calls, faxes and other information enquiries and direct
the questions to the relevant CRDP staff.
- Provide logistical support (i.e. travel arrangements, visas, tickets,
hotel reservations) to the relevant CRDP staff;
- Organize meetings for Project Manager with representatives
of all parties involved in the Programme implementation.
- Train and advise CRDP regional coordinators and UNVs in
the establishment of field offices, including basics of office management,
filing systems, equipment maintenance.
- Assist the CRDP staff in jointly organizing trainings,
workshops and other Programme related activities.
- Get acquainted with UNDP financial procedures and assist
in financial matters, if requested by the Project Manager.
- Report to CRDP Project Manager directly.
- Performs other functions and duties as
required.

- Experience of work within international organizations:
- Excellent writing, communication and organization skills;
- Fluency in English (spoken and written), Ukrainian;
- Excellent team working skills;
- Good interpersonal skills;
- High level of accuracy and
reliability.
