Assistant/Interpreter
TERMS OF REFERENCE

Project
Titles: EU Border Assistance Mission to Moldova and Ukraine
- Post Title: Administrative Assistant/Interpreter
- Duty Stations: Multiple: 4 posts in Odessa, 6
posts in our field offices in Timkove-Slabidka, Platonovo and
Kuchurgan (relocation will be required), 2 posts in Kyiv, Ukraine.
- Duties and responsibilities:
Under
direct supervision of the Head of Administration the incumbent will discharge
the following functions:
- Assures smooth operational running of the project by
means of following UNDP and EC established operational rules and procedures;
- Participate in project activities preparation,
implementation and follow up;
- Provide logistical support (travel arrangements,
including visas, tickets, etc.) to the project team;
- Facilitate the process of procurement and delivery of
goods and services;
- Facilitate project audit, monitoring, evaluation,
field visits, missions of the experts;
- Maintain updated networks of project counterparts,
contractors, consultants and suppliers;
- Prepare project related correspondence;
- Maintain contacts with governmental and
non-governmental institutions, local authorities, NGOs, academia, etc.
- Facilitate project related training/learning
activities;
- Participate in data collection, analysis and
maintenance of projects related files;
- Contributing to the project annual and quarter
work-plans preparation and reporting;
- Assure that the progress reporting is done in timely
and quality manner based on the requirements of the UNDP and project donors;
- Maintain contacts with UNDP CO on a variety of the
operational issues;
- Contribute to the preparation of the project
bulletins, promotion materials and project web-site update;
- Facilitate project outreach/communication efforts;
- Assure that project information is kept updated at
intra-net and UNDP Ukraine web-site.
- Provide oral and written translations from English
into Ukrainian or Russian and vice versa as required by the project;
- Proofread and/or edit the project’s correspondence
and other official documents;
- Perform other functions/tasks when required.
Basic requirements for the incumbent:
- University degree in foreign languages;
- At least 3 years of progressive experience, preferably in
international environment;
- Excellent fluency (both oral and written) in the English,
Russian and Ukrainian languages;
- Experience with technical assistance projects is an
asset;
- Ability to work in team;
- Ability to work under continuous pressure and meet
deadlines;
- Energetic optimistic approach to all possible problems;
- Strong
computer skills.
