INTRODUCTION

DESCRIPTION OF DUTIES

Responsible for the secretarial and administrative work and the daily running of the WHO Office in Donetsk.

During the working hours set out in the contract the Secretary will:

  • Collect, screen and sort incoming mail and faxes, reply to requests for information in an efficient and timely manner after consultations with the Medical Officer;
  • Type outgoing mail, reports, replies of requests and ensure their sending by mail, fax or electronically;
  • Answer telephone calls, distribute calls to other workers in the office;
  • Maintain the office filing system in good order;
  • Ensure that the Office facilities (PC’s, printers, phones/faxes, copier, scanner, etc.) be kept in good working condition and immediately inform the Medical Officer in case of trouble;
  • Assist the Medical Officer to draft reports, to collect necessary information to ensure that all activities are well documented;
  • Write minutes of meetings when requested;
  • Keep links with the WHO Regional Office for Europe and all counterparts in Ukraine and consult them in administrative issues;
  • Assist in organizing visits, meetings, workshops etc.;
  • Organize travel and accommodation of the Office workers and guests;
  • To meet and accompany guests of the WHO Office when in Donetsk and to accompany them outside Donetsk if necessary;
  • To act as interpreter during discussions, meetings and workshops from English to Russian and vice versa if needed;
  • To translate papers and documents from English to Russian and vice versa if needed;
  • Collect and update basic information on Tuberculosis in Ukraine and Donetsk and send updated information to the WHO Regional Office for Europe in a timely manner;
  • Provide assistance to the Medical Officer to perform in an effective way the activities of the office;
  • Perform other duties as required.

QUALIFICATIONS REQUIRED:

EDUCATION

Graduation from secondary school or equivalent and technical or commercial school or equivalent experience.

TRAINING

Good typing skills and good knowledge of standard office software. Ability to process text at the prescribed speed of the organization.


EXPERIENCE

Minimum two years of secretarial and/or translating experience. Experience from working in an international

organization or foreign enterprise would be an asset..

LANGUAGES

Fluency in Ukranian, Russian and English is required. Knowledge of other languages would be an asset.

Monthly salary (Net of tax): USD 501
