Opening (vacancy) in UNDP Ukraine:
Programme Assistant
UNDP is an organization at the forefront of today’s development dialogue in
championing the poor and disadvantaged with a focus on building national,
regional and global coalitions for change. UNDP Ukraine is looking for an
experienced candidate for the position of Programme Assistant to support
Programme Section of UNDP Ukraine in the following functions:
- Provides overall administrative and secretarial support to the Programme
Section and UNDP Country Programme Director;
- Performs administrative and operational functions of assistant, including
assistance to the Programme Section staff in project budgeting and finance
revisions, organization of project reviews, backstopping to evaluation
missions and relevant other tasks;
- Provides overall support to projects implementation, including reports
preparation;
- Arranges appointments, receives visitors, places and screens telephone
calls and answers queries;
- Prepares briefing materials for the Programme Unit for use on official
meetings, business trips;
- Participates in the organization and preparation of meetings, takes
minutes and/or notes, prepares reports;
- Prepares/organizes translation into UKR/RUS/ENG of the project documents,
reports, information materials, letters, etc.;
- Acts as interpreter during meetings, conferences or arranges for the
interpreter;
- Receives, screens, logs and routes correspondence, attaches necessary
background information, ensures correspondence transmission, maintains
follow-up system;
- Drafts correspondence, documents, reports and ensures follow-up;
- Prepares invitations for the UNDP planned activities and ensures
follow-up;
- Ensures accuracy of the filling system in Programme section;
- Keeps lists of names, addresses and telephone numbers of government
officials, programme counterparts, members of diplomatic corps;
- Provides assistance to other staff when required and the work-plan permits
it;
- Performs other duties as required.
Requirements for the position:
- Excellent language skills with an ability to translate texts from three
languages (English, Russian and Ukrainian) with occasional interpretation in
meetings;
- ability to write and express clearly and concisely;
- experience in project budgeting and finance;
- mature judgement combined with a proactive, energetic approach to problem
solving and a positive outlook on life and work;
- excellent interpersonal and communication skills;
- strong organizational and time management skills;
- resourceful in finding solutions;
- knowledge of and complete comfort with computer applications/communication
is essential (including organization of public presentations on PowerPoint).
- Ukrainian citizen with upwards of a Master’s degree in a relevant field
(such as English, public relations/communication, organizational behavior,
economics);
- At least 3 years of relevant experience in support to senior management
including secretarial work (references required).
