Project title: Crimea Integration and Development
Programme (CIDP)
Project number: 00015088
Position: Logistics Assistant/Driver
Duty Station: Simferopol, Crimea
Duration: Until 31 December 2008, with a 3-months
probation period and the possibility of yearly extensions
Functions and responsibilities:
Under the overall supervision of the
IPC of the UNDP/Crimea Integration and Development Programme, and the direct
supervision of the Senior Finance/Administrative Assistant the incumbent will be
responsible for:
(a) CIDP logistics
by:
1.
Supervising, coordinating and
monitoring the work of CIDP drivers and management of daily vehicle log
books.
2.
Scheduling vehicle use and
arranging field trips for CIDP staff
and partners
3.
Monitoring of timely maintenance
of the office vehicles; ensuring that CIDP vehicles are utilized
efficiently and kept in good order at all times
4.
Initial preparation of the tender
documentation for the fuel, spare parts and other necessary items for the office
vehicles.
5.
Organizing logistical arrangements for the
organization of programme events, including conferences, trainings and
workshops, hotel booking and ticketing.
6.
Advising
and making arrangements for shipment and receipt of supplies, equipment and
household effects, including customs clearance.
7.
Distributing stationary to staff and field
offices and maintaining proper recording system of stock control.
8.
Ensuring
proper control of CIDP assets, including preparation of inventory reports as
well as implementation of inventory and physical verification control in the
head office in Simferopol and the field offices in the districts; maintaining
the inventory ledger of non-expandable equipment, preparing agreements and
protocols for equipment transfer and write off.
9.
Performing other logistical duties as may be
required by CIDP Management.
(b) Replacing drivers that are on
sick or annual leaves:
Timely and safety driving of project employees, consultants,
project guests, project visitors, UNDP staff in the CIDP official vehicles at
the authorization from the CIDP management or UNDP Ukraine management in the
safe manner;
Assures timely meeting of guests in the airport and other
facilities;
Performs tasks related to the daily maintenance of the
vehicle;
Maintains daily vehicle logs (mileage, fuel consumption,
routs) and submits logs to the project administrative assistant on a timely
basis;
Ensures that maintenance services are done on project
vehicles in time;
Ensures any repair services in the same manner as
maintenance;
Ensures that vehicles are parked in the authorized safe
parking places;
Ensure that project vehicles are clean and tidy any time;
When requested maintains stock of supplies and purchases
minor orders to ensure the non-interrupted project office functioning;
Ensures that all instructions regulating safe driving
behavior and Rules of the Road are in hand and strictly followed;
Assistance in mail delivery;
Do not authorize unofficial use of the vehicle without
receipt of the duly issued authorization from the project management with
mandatory reimbursement of costs;
Assist in customs’ clearance of project goods;
Assures that the vehicle has valid insurance;
Assists project staff in discharging their functions at the
request/authorization from the supervisor;
Bears financial responsibility over the vehicle assigned;
(c) Perform the duties of Office
Maintenance Assistant:
Organize the work of elevator from 9 am till 9 pm on working
days;
Organize the work of elevator during weekends, if it is
necessary for Office purpose;
Maintenance of elevator when requested;
Performs minor repair works within the CIDP office as
requested;
Overall maintenance of office equipment and furniture;
Qualifications:
- University degree in Business Administration or an
equivalent combination of training and experience;
- Personal commitment, efficiency, flexibility, drive for
results, respect for diversity, creative thinking;
- Knowledge of both written and spoken Ukrainian and Russian
languages (English desirable);
- Excellent interpersonal and communication skills;
- Strong organizational and management skills and ability to
travel on as needed basis;
- Valid driving license (min cat. B, preferable — all);
- At least 5 years of professional driving experience with
at least 3 years of professional experience with Crimean roads
- Technical proficiency in vehicle maintenance;
- Excellent
knowledge of the Ukrainian Rules of the Road;
