TERMS OF REFERENCES

Duty Station: Kyiv, Ukraine

Position Title: Project Assistant

Organizational Location: Capacity Building in Migration Management (CBMM)

General Functions: Under the direct supervision of the Senior Project Specialist and the Project Manager, under the general supervision of the CBMM Programme Coordinator, and under the overall guidance of the Chief of Mission, the incumbent will be responsible for coordination of various logistic activities in relation to two projects: “Capacity Building in Migration Management (CBMM)” Phases I and II.

Specific Functions:

  • Under the supervision of CBMM management, provide logistic and secretarial support to the CBMM team, especially in relation to expert visits, organization of events and documentation/ archiving
  • Organize the logistics for expert visits to Ukraine and networking visits of Ukrainian delegation abroad, including booking tickets and accommodation, compiling necessary documentation, arranging meetings and agendas, making relevant payments and DSA
  • Assist in the organization of special events, steering committee meetings, press conferences, trainings, seminars, and round tables within the CBMM I and II projects
  • Preparing agendas, purchase requisition forms, requests for payment, travel authorizations, driving schedules, and updating CBMM calendars
  • Archiving, filing and storing documents, photocopying and maintaining the filing system and electronic database
  • Taking down minutes of the meeting, taking photographs during events, and ensuring proper follow-up in relation to dissemination of materials and publications
  • Travelling throughout Ukraine on as-needed bases to troubleshoot, monitor progress, and recommend corrective measures if/when necessary
  • Contributing to reports on CBMM I and II phases on ad hoc, monthly, quarterly, yearly, and end-of-project bases
  • Coordinating the work of interpreters and providing translation and interpretation assistance when necessary
  • Composing official and unofficial correspondences in Ukrainian and English (and Russian if necessary)
  • Perform other duties as may be requested Qualifications and Experience

    · Desired: Bachelor’s degree in internal relations, law or relevant social science diploma.

    · Experience in providing administrative support.

    · Technical mastery of the following software programmes: MS Word, Outlook, Excel, Power Point.

    · Excellent communication skills.

    · Attention to detail and strong organisational and interpersonal skills.

    · Flexibility and ability to work under pressure.

    · Ability to work effectively and harmoniously with colleagues within a team from varied cultures and professional backgrounds is also desired.

    · Ability to work with a wide cross-section of partners: Government, NGO’s, communities, academic institutions, media and international donors;

    Languages:

    • Required: Fluency in Ukrainian, English, and Russian.
